A manufacturing company already had SAP and ServiceNow in place. Yet user onboarding was still running manually: HR creates a new employee in SAP, and someone has to remember to trigger the IT onboarding. Not ideal.
The challenge was complex: two leading systems, no automatic trigger, no clear ownership. New employees were often not ready to work on day one because accounts were missing or permissions hadn’t been set.
We fully automated the process: SAP automatically triggers an Azure Automation Runbook when a new employee is created. This creates a ServiceNow Catalog Item and starts several time-based Runbooks. 30 days before the start date, the responsible manager is notified. 2 days before, the password is set. On day one, the user is activated and immediately ready to work.
IT no longer needs to intervene manually. No employee starts without a working account. The entire process runs reliably and with full documentation.
