File Server Access via Self-Service: Getting IT Out of the Loop

File server share access requests had been running through the IT department for years. Every time: submit a ticket, wait, IT checks, IT sets. A process that was inefficient for both IT and the business units.

The Challenge

IT was the bottleneck for all access requests – even though they couldn’t actually judge whether access was justified. That decision belongs to the business unit, not IT.

The Solution

We built a self-service model with resource owner delegation. Employees request access via the portal. The resource owner – the person responsible for the share – approves or rejects. Azure Automation handles the technical permission assignment. There’s also a quarterly report: with a single click, the resource owner can remove users who no longer need access.

The Result

IT is out of the business decision. Access requests are processed faster. And unnecessary permissions are regularly cleaned up.
